1. BOOKINGS
Bookings can be made directly with the motel via phone 08 8642 2755 or email enquiries@highwayonemotel.com.au or via our website www.highwayonemotel.com.au
1.1. Reservations are subject to availability and actual pricing at the time of booking.
1.2. All quotes are valid for 24hrs only. Any verbal quote given is an estimate only of price, which will be subject to
written advice on confirmation of reservation.
1.3. All accommodation bookings must be guaranteed at the time of reservation by provision of Valid Credit Card
details.
1.4. This credit card must be valid for the entire stay. A $200.00 pre-authorisation will be processed on this card at least
48 hours prior to arrival. Please present the credit card used to make the reservation upon check-in.
1.5. If you are booking on behalf of someone else, you must contact the motel directly to arrange for third party billing.
1.6. You will not be charged for any accommodation booking prior to the date on which you are due to arrive.
1.7. By providing valid credit card details you warrant that you have the authority to use the credit card and you
authorise Highway One Motel to charge the cost of your booking to the credit card in the case of cancellation or no
show penalties as detailed below.
1.8. All reservations will be confirmed by email.
1.9. If email or fax is not available, the cancellation policy will be explained over the phone.
2. CHARGEBACKS
2.1. All care must be taken to ensure that the information provided to the motel is correct.
3. TERMS AND CONDITIONS
3.1. BOOKING ARRANGEMENTS
3.1.1. The person affecting a booking shall be deemed to have accepted the booking conditions on behalf of all persons
named in the booking.
3.1.2. The person who makes/confirms a booking on behalf of another person shall be deemed to have accepted the
booking Terms and Conditions on behalf of all persons named in the booking.
3.1.3. The person named on the booking must be the person to sign the guest registration form. Guests must advise the
Motel if a third person or nominee will check-in on their behalf.
3.2. LEGAL STATEMENT
Highway One Motel has a strict policy for handling guest information. The information you provide to Highway One Motel is confidential and protected to the fullest extent possible. Highway One Motel will not disclose or distribute guest information to third parties without prior written consent by the guest.
However by signing the guest registration form you agree to allow us to pass on to persons we deem appropriate your details should you or your visitors;
Such as but not limited to
3.2.1. Fail to settle your account
3.2.2. Smoke in the room
3.2.3. Room degradation (such as vomit, bodily wastes)
3.2.4. General damage to motel property, fittings, fixtures
3.2.5. All non-standard cleaning charges
3.2.6. And or any problem sufficient to result in a room being withdrawn from its availability to let.
3.3. RATES AND CHARGES
3.3.1. Rates quoted on Highway One Motel website are in AUD and are subject to change at any time.
3.3.2. Rates are inclusive of GST.
3.3.3. Rates do not include meals, transfers or incidental charges (eg. phone, internet etc)
3.3.4. Minimum length of stay restrictions may apply to certain dates during special event periods.
3.4. PAYMENT OPTIONS
3.4.1. All bookings must be secured with a Current and Valid Credit Card. Note that the payment will not be charged until
your arrival at which time you may choose to pay using any alternative accepted method. Photo identification
MUST accompany all payments.
3.4.2. Standard Payments accepted include;
3.4.2.1. Cash
3.4.2.2. Mastercard – Credit Card
3.4.2.3. Visa – Credit Card
3.4.2.4. American Express Credit Card (3.5% surcharge)
3.4.2.6. Company accounts (strictly 7 days on application)
3.4.2.7. Personal Cheques NOT accepted
3.4.3. Credit Card Authority
3.4.3.1. A Credit Card Authority form is required by the Highway One Motel when a third party credit card is being used
to secure and pay for the booking.
3.4.3.2. This form must be received by the Motel, 48 hours prior to guest check-in.
3.5. CHARGE BACKS
3.5.1. All charge backs must be received before a booking is confirmed.
3.5.2. Charge backs must clearly state:
3.5.2.1. Guest name
3.5.2.2. Guest contact phone number
3.5.2.3. Guest ETA
3.5.2.4. Number of rooms
3.5.2.5. Number of nights
3.5.2.6. Check-in date
3.5.2.7. Check-out date
3.5.2.8. Room rate
3.5.2.9. Room type
3.5.2.10. Valid Credit card details for payment
3.5.2.11. Consultants name
3.5.2.12. Payment type (credit card, company account – pre-arranged)
3.5.2.13. Inclusions – (room, meals, bar, incidentals)
3.6. CASH PAYMENTS
3.6.1. If paying by cash, a deposit of ONE nights’ accommodation must be received by the Highway One Motel four (4)
working days prior to arrival.
3.6.2. This payment can be made via EFT to the Highway One Motel.
3.6.3. If paying by cash, a bond in the amount of $200.00 will be charged on check-in.
3.6.4. At check-out room will be inspected by Reception staff, the bond (less any charges) will be refunded via
nominated bank account.
3.6.5. If a booking is made less than three (3) working days prior to arrival date, and the deposit not received, the
reservation will only be held until 2pm day of check-in.
3.7. CHECK-IN AND CHECK-OUT
3.7.1. Standard check- in time is 2.00pm. The name of the booking (or nominee) must be the person checking in.
3.7.2. Standard check- out time is 10.00am.
3.7.3. For guaranteed arrival prior to 2pm, a room must be reserved from the previous night and therefore includes an
additional nightly charge.
3.7.4. Late check-out up to 11.00 am is at the discretion of the Motel manager and must be requested the night before
check out. Late check out after 11.00am will incur the full rate of one (1) nights’ accommodation.
3.8. LATE ARRIVALS
3.8.1. If arriving outside of Reception hours, guests must contact the Reservation Team during reception hours to organise
key collection. A credit card payment (room rate) will be processed at this time, payment by cash will not be possible.
3.8.2. Arrivals outside Reception hours are required to complete their Check-in Online before arriving.
3.8.3. You will be asked to provide a current driver’s license, proof of age card or passport for identification and credit card
details. The name on this identification & credit card must match the name on the booking.
3.8.4. Access is via Key safe
3.9. BONDS
3.9.1. A $200 Pre-authorisation (on credit card supplied) will be processed 48hrs prior to arrival.
3.9.2. If providing a Cash bond of $200, this can be paid at time of check-in.
3.9.3. The Bond money will ONLY be returned to the person who’s name appears on the written receipt. Photo
identification will be required.
3.10. SECURITY BOND AND PHOTO ID
3.10.1. An acceptable current form of photographic identification will need to be produced at the Motel on check-in.
3.10.2. The property pre-authorises $200.00 on all credit cards 48 hours prior to arrival. Please note this process
validates the presented credit card, and protects both the cardholder and merchant from increasing fraud
incidents.
3.10.3. The pre-authorised amount is set aside by the credit card company. The pre-authorisation may affect your
available funds balance or spending limit. The credit card company will release the pre-authorised funds
according to their time frame.
3.10.4. For more information on this practice we suggest the cardholder contact their card issuer. Once a pre-
authorisation has been made, we cannot release, remove or lower the authorised amount. This is a restriction
placed on us by the bank, and cannot be negotiated.
3.10.5. Where a credit card is not available a minimum $200.00 cash deposit will be required. Please contact reception
prior to your arrival to confirm charges.
3.11. FEES AND CHARGES
3.11.1. Entry into Motel rooms is conditional upon a signed guest registration form.
3.11.2. Due to fire regulations, Management must be aware of the number of guests in all rooms.
3.11.3. All room rates are for 1, 2, 3, 4 or 5 guests, a $20 charge will be applied to any extra guests.
3.11.4. The cost of meals for extra guests is also the responsibility of the person signing the guest registration form.
3.11.5. If in the course of a guests stay, and contributable to any guests or visitors of that room, any unforeseen
expenses that become apparent, the signing guests credit card will be charged an amount, appropriate to the
expense, at a rate determined by the Highway One Motel. In the case of a bond, the bond funds will be held in
reserve until such time that all costs associated with the said expenses are recovered including any legal fees
incurred. Any remaining money will be refunded to the guests.
3.12. FEES CHARGEABLE TO GUESTS ACCOUNT INCLUDE, AND ARE NOT LIMITED TO:
3.12.1. Smoking in rooms - $200.00 cleaning fee will be charged.
3.12.2. Lost or stolen keys will incur a $200 fee. Attempts will be made to contact the guest who will be given the
opportunity to return keys taken. Failure to do so will result in the fee being charged to their credit card or bond.
3.12.3. Room degradation (such as vomit, bodily wastes) a $200 cleaning fee will be charged, plus any professional floor
cleaning charges at cost, plus a daily room tariff equal to the daily tariff that we would charge if the room was
available to be let or any other rate that may be agreed to by the management, in accordance with business
demand on the day, until the said room has been returned to its salable condition.
3.12.4. Cost of repair or replacement for general damage or theft of Motel property and any problem sufficient to result
in a room being withdrawn from its availability to be let. In extreme cases, criminal charges will be pursued.
3.12.5. Cost of meals, drinks (alcoholic and non-alcoholic), snacks.
3.13. MODIFICATION OF BOOKINGS
3.13.1. A reservation made directly with the motel, may be modified with the motel. An email notifying of modification

13.13.2. A modification made within the 48 hr cancellation period, NO Refund policy applies. Modified date must be
within14 days of original booking date.
3.13.2. A modification to a reservation is subject to the motel’s availability at the time the modification is requested and
may change the rate and/or require payment of cancellation fees.
3.13.3. A reservation made through a Third Party Agent ie. Booking.com, Expedia, FCM/CTM must be modified with the
Third Party Agent.
3.134. A modification to a reservation MUST be made via email.
3.14. CANCELLATIONS
3.14.1. Cancellations made up to 48 hours prior to arrival will NOT incur a fee.
3.14.2. Cancellations made within 48 hours of day of arrival check-in time (2pm)– one nights’ accommodation fee will be
charged.
3.14.3. A reservation made directly with the Highway One Motel can be cancelled directly with the Motel provided it is
within the cancellation period.
3.14.4. A reservation made through a Third Party Agent must be cancelled ie. Booking.com, Expedia, FCM/CTM must be
cancelled with the Third Party Agent.
3.14.5. Cancellation requests MUST be made via email.
3.15. REFUNDS
3.15.1. NO shows - will be subject to a 100% cancellation fee ( 1 NIGHTS’ ACCOMMODATION)
3.15.2. NO refunds for room changes
3.15.3. NO refunds for early departures
3.15.4. NO refunds given after check-in
3.16. SPECIAL REQUESTS
3.16.1. Whilst we attempt to satisfy all special requests, we are unable to provide a guarantee.
3.17. PARTY POLICY
3.17.1. Zero tolerance party policy.
3.17.2. In the interest of quiet enjoyment and respect for all guests at the motel, a no party policy applies to all guests
staying at the property. Guests are expected to be respectful of other guests at all times, and to be quiet between
9pm-7am. No group congregations in individual guest rooms is permitted or tolerated. Immediate eviction with no
refund applies to any breaches of this policy.
3.18. CHILD POLICY
3.18.1. Infants under 2 years with own Fold Out Cot – no charge.
3.18.2. Children 2 years and over are charged at the extra person rate.
3.19. UNACCOMPANIED MINORS
3.19.1. All guests under the age of 18 must be accompanied by a parent/guardian.
3.19.2. In instances where it is necessary that an minor Must be accommodated, a Responsibility Waiver must be
provided by the legal guardian.
3.19.3. The property has the right to refuse any booking, when the legal guardian over 18 cannot provide current photo
ID, when requested on check-in.
3.20. PETS
3.20.1. With the exception of Sight and Hearing assistance dogs, ALL pets are strictly forbidden inside guest rooms. Any
guests breaching this rule will face immediate eviction and a $200 cleaning fee for carpet and any soft
furnishing effected.
3.20.2. Pets in vehicles/trailers may only be permitted by prior specific arrangement.
3.20.3. Show Dogs will only be permitted by prior specific arrangement. A maximum of two (2) dogs will be permitted
for any one booking. Guests with more than two dogs (other than those in a purpose built dog trailer) will not be
permitted to park on the Motel grounds.
3.20.4. Barking dogs will not be tolerated and will result in guests and their dogs being evicted from the motel, with no
refund of monies.
3.21. COOKING
3.21.1. Cooking in guest rooms is strictly forbidden by Health Authorities with the exception of the use of the kettle.
3.21.2. Fees for additional cleaning may apply should guest cook inside a guest room.
3.22. FIRE
3.22.1. Due to Fire regulations, Management must be aware of number of guests in rooms.
3.22.2. NO CANDLES OR OPEN FLAMES PERMITTED. Should the Fire Alarm be activated, the cost of Emergency
Services (SA Metropolitan Fire Services) attending, will be charged to the guest.
3.23. SMOKING
3.23.1. All rooms are non-smoking.
3.23.2. Penalties will be charged to guests who smoke in rooms. (see 3.12.1)
3.24. ENFORCEMENT OF TERMS AND CONDITIONS

3.20.1. With the exception of Sight and Hearing assistance dogs, ALL pets are strictly forbidden inside guest rooms. Any
guests breaching this rule will face immediate eviction and a $200 cleaning fee for carpet and any soft
furnishing effected.
3.20.2. Pets in vehicles/trailers may only be permitted by prior specific arrangement.
3.20.3. Show Dogs will only be permitted by prior specific arrangement. A maximum of two (2) dogs will be permitted
for any one booking. Guests with more than two dogs (other than those in a purpose built dog trailer) will not be
permitted to park on the Motel grounds.
3.20.4. Barking dogs will not be tolerated and will result in guests and their dogs being evicted from the motel, with no
refund of monies.
3.21. COOKING
3.21.1. Cooking in guest rooms is strictly forbidden by Health Authorities with the exception of the use of the kettle.
3.21.2. Fees for additional cleaning may apply should guest cook inside a guest room.
3.22. FIRE
3.22.1. Due to Fire regulations, Management must be aware of number of guests in rooms.
3.22.2. NO CANDLES OR OPEN FLAMES PERMITTED. Should the Fire Alarm be activated, the cost of Emergency
Services (SA Metropolitan Fire Services) attending, will be charged to the guest.
3.23. SMOKING
3.23.1. All rooms are non-smoking.
3.23.2. Penalties will be charged to guests who smoke in rooms. (see 3.12.1)
